Somewhere between signing the offer letter and applying for a federal employer number, you quietly became a small business. Nobody mentioned that part.

Most household payroll services charge $500-1,200/year for math that is entirely rules-based. Fixed federal formulas, bright-line thresholds, no professional judgment required in the standard case. Parents still sign and file regardless. The cost is real.

The year you hit 40 Social Security credits is the year retirement benefits become real for you. Cash pay never gets you there. Those wages don't get reported to the Social Security Administration, so they don't count. On-the-books pay does.

Most parents assume the W-4 their nanny fills out works the same way it did at a regular job. It doesn't. The IRS completely overhauled the form in 2020 and ditched the old allowances system. That means the withholding math is different for household employees.

7.65% withheld correctly on every paycheck. Noticed that while browsing a hardware store on Saturday, briefly, and then didn't think about it again.

When you signed up for NannyKeeper, did you wonder what you'd actually have to do yourself?

The short answer: sign and submit. We handle every paycheck calculation, every quarterly estimate, and every year-end form.

Most parents don't realize that paying your nanny on the books unlocks a tax credit worth up to $6,000 in care expenses. The catch? You can only claim it if those wages were reported properly.

An estimated tax number that was just sitting in the account, already calculated. September 15 is 13 days out. Miss it and the penalty accrues from that date -- not April. NannyKeeper keeps the math current so the deadline is never a surprise.

A reminder that sent itself because the math was already done. September 15 is 15 days out. Miss it and the penalty runs from that date, not April. NannyKeeper flags it early so it stays a quiet calendar item, not a surprise.

Most people think the penalty clock starts in April. It doesn't. Miss September 15 and the penalty starts accruing that day. Paying the full amount later stops it, but it doesn't erase what's already built up.

You have 18 days left to file your Q3 estimate.

Every household employer is the filer of record by IRS rule. That's just how household employment works, not a software thing. NannyKeeper hands you every form pre-calculated with all the numbers already done. You sign and submit. We carry the math.

$3,000 in nanny wages is the magic number. Once you hit it, your tax return needs a new form that most CPAs don't prepare automatically. NannyKeeper handles all the calculations so you're not scrambling to piece it together in April.

September 15 is 21 days out. If you miss it, paying the full amount in April doesn't erase the penalty. It's already been accruing since the missed date. NannyKeeper surfaces the number now so you can pay it and move on.

Sitting across from a loan officer, handing over a folder of pay stubs. That folder only exists if your wages were on the books. W-2 wages get reported to the Social Security Administration. That's the paper trail lenders and landlords actually require.

Waiting for a coffee order, phone out, September 15 two and a half weeks away. If you owe federal tax on top of what's withheld from your nanny's paychecks, that Q3 estimated payment is due then. NannyKeeper has the number ready. You just need to send it.

27 days. That's how long until the Q3 estimated tax payment is due for household employers. September 15 is the deadline.

Miss it and the penalty starts accruing from that date, not from April. A late Q3 payment costs more than a late Q4 for exactly that reason.

Did your CPA help you set up nanny payroll, or did they hand it back to you? Most CPAs aren't really set up for it. Household employers file on Schedule H, not the quarterly Form 941 that business payroll runs on. It's a structural gap nobody talks about.

The IRS decides whether your nanny is an employee. Not you, not them. If they follow your schedule, work in your home, and care for your kids, they're an employee by definition. A 1099-NEC doesn't change that.

When your employer pays you on the books, they're legally required to match your Social Security and Medicare contributions dollar for dollar. That's 7.65% of your wages paid by them, not you. A 1099 worker gets no match and pays the full 15.3% alone.

Sitting in a CPA's waiting room in February, forms in hand, realizing there's no EIN on any of them. We see this more than you'd think. Parents who set up payroll mid-year often get the math right and miss the registration step.

Did you check whether your nanny costs qualify for a federal tax credit this year? Most families who pay on the books are eligible, and most never run the numbers. NannyKeeper has a breakdown of how it works and what the W-2 has to do with it.

A September estimated tax notice sitting on the counter is usually where this starts. Family set up payroll in April, estimated based on wages paid so far, and underpaid because they forgot to project forward.

Did you run the numbers on dependent care benefits before your nanny's first payday? Most families don't. You can set aside up to $5,000 in a dependent care FSA to pay for nanny costs with pre-tax dollars. There's also a separate tax credit for childcare expenses.

Most parents assume W-2 season is something big companies deal with. It's not. When we built the year-end form logic inside NannyKeeper, we found that household employers share the exact same January 31 federal deadline as every Fortune 500.
